Grievance & Redressal Cell
The Grievance & Redressal Cell addresses complaints and concerns from staff and students to maintain a positive and fair atmosphere on campus.
A Students’ Grievance Redressal Committee (SGRC) is a sub-committee formed under clause (f) of Section 2 of the University Grants Commission Act, 1956 at Al’ Ameen Arts and Science College for Women. The purpose of such a committee is to address and resolve grievances or complaints raised by students related to academic, administrative, or other concerns within the institution. The cell will meet as and when required and take suitable measures for the grievances addressed to it.

Objectives
The Objectives of the “Students’ Grievance Redressal Committee (SGRC)” are to address and resolve grievances, complaints, and concerns raised by students, within the institution. This includes:
- i. To ensure a fair and transparent process for addressing grievances;
- ii. To foster a positive and harmonious environment by addressing issues promptly and effectively;
- iii. To create a conducive environment for learning and growth by addressing issues that may hinder students’ academic progress or affect their physical and mental well-being;
- iv. To build mutual confidence and trust among students, staff, and other stakeholders;
- v. To ensure that the institution remains compliant with these regulations by promptly addressing grievances and taking appropriate action when required;
Key Components
(i) Establishment and Composition:
The Al Ameen Arts and Science College for Women has established a “Students’ Grievance Redressal Committee (SGRC)” as a dedicated body to address the students’ grievances on 15th July, 2024. The Committee is composed of a chairperson who oversees its functioning; it also consists of two Faculty members. A student’s representative member is also appointed in the committee.
(ii) Grievance Submission and Documentation:
The Cell provides a clear and accessible mechanism for individuals to submit their grievances. An email address, Physical complaint/suggestions box, contact numbers, or in-person meetings ensure that all grievances are documented systematically, including details such as the nature of the grievance, the individuals involved, relevant dates, and any supporting evidence.
(iii) Grievance Handling Procedures:
The cell establishes standardized procedures for handling grievances. This includes guidelines on how grievances will be received, reviewed, investigated, and resolved. The procedures prioritize fairness, confidentiality, and impartiality. The following steps are included: initial assessment, fact-finding, gathering evidence, conducting interviews, and reaching a resolution.
(iv) Timeline and Response Mechanisms:
The cell sets clear timelines for each stage of the grievance handling process. To address grievances, at least 15 days are required to communicate the resolution to the aggrieved student. It establishes response mechanisms to acknowledge receipt of grievances and keep complainants informed about the progress of their cases. Regular updates and communication shall maintain trust and transparency throughout the process.
(v) Investigation and Resolution:
The cell may seek additional information, interview relevant parties, and gather evidence to fully understand the situation. Based on the findings, the cell works towards a fair and appropriate resolution.
(vi) Record-Keeping and Reporting:
The cell maintains accurate and confidential records of all grievances received, investigations conducted, and resolutions reached. These records are maintained essentially for tracking trends, identifying systemic issues, and monitoring effectiveness. Regular reporting to relevant authorities or committees within the institution ensures accountability and enables data-driven decision-making.
(vii) Awareness and Outreach:
The cell engages in awareness and outreach activities to educate the institution’s community about the existence and functioning of the grievance cell. This includes disseminating information about the cell’s mandate, procedures, and contact details through official communications, orientation programs, websites, and notice boards.
Procedure for Lodging Complaint
The students may feel free to put up a grievance through:
- (i) E-mail
- (ii) Phone contact
- (iii) In-person contact
- (iv) Students can submit Grievances and suggestions through boxes provided within the campus. The complaint boxes are regularly checked by authorized persons and complaints, if any, will be rectified at the earliest.

Internal Complaints Committee
The Internal Complaints Committee (ICC) was structured as per the rules of the Sexual Harassment of Women (Prevention, Prohibition and Redressal) Act and Rules 2013 at Al’Ameen Arts and Science College for Women, Kumbakonam on 13th September 2024.
The Committee’s major function entails:
- Forceful implementation of the policies relating to the prevention of sexual harassment.
- Strive to resolve complaints by the aggrieved complainant.
- Recommend actions to be taken by the employer.
The Compliance Committee followed the following criteria:
- It requires substantial orientation acclimatization for effective functioning.
- It cannot operate like a criminal court.
- The personal life and career of the complainant is at stake.
- It is necessary that the complaint be handled in a confidential manner.
- The committee needs to submit an annual report on sexual harassment to the appropriate government authority.

The committee constitution and membership will be reviewed every six months and updated as necessary. The members listed above are part of AASCW Institute’s first internal compliance committee. Any member in the ICC shall hold their position for a period not exceeding 3 years from the date of nomination.
Policy and Procedure of the Committee
- A meeting will soon be proposed once the complaint is filed. Students and staff are free to register the complaint with any of the committee members.
- After receipt of the complaint, the committee is required to complete the inquiry within 90 days from the date of receiving the complaint.
- The complainant will register her complaint in writing, providing all essential information within the time limit decided by the committee.
- The committee will follow principles of natural justice in its proceedings.
- The minutes of the meeting will be duly signed by members of the committee.
- The committee shall present the report with all supportive evidence before the principal.
- The inquiry process shall be confidential, and all members of the committee must maintain confidentiality regarding the inquiry process and its outcome.
- Upon completion of the inquiry, the report will be sent to the employer, who is mandated to take action on the report within 60 days.
Roles of the Employer
- Provide a safe working environment at the workplace.
- Display the details of the ICC members at any conspicuous place in the workplace.
- Organize workshops and awareness programs regularly to sensitize employees.
- Organize orientation programs for ICC members.
- Provide necessary facilities to the ICC for dealing with complaints and conducting inquiries.
Necessary Steps for Successful Implementation
- Boards with the names, phone numbers, and email of committee members are displayed in appropriate places in the college.
- Posters are put up in the college porch and notice board for student and staff awareness. An email is provided for online complaints.
- A complaint (She) box is placed near the principal's chamber, and students are informed in class.
- Information regarding the POSH Act 2013 and Vishakha guidelines available on the internet was shared with students.
Complaint Procedure
- Any aggrieved woman may file a written complaint of sexual harassment at the workplace to the ICC within 3 months from the date of the incident or the last incident in a series of incidents. In case the woman cannot write, the presiding officer or any ICC member shall assist in filing the complaint.
